Who Am I?

It’s important for you to know that I will never sell, rent or trade email lists with other companies and businesses for marketing purposes.

In this privacy policy, I provide you with information about when and why I collect your personal information, how I use it and how I keep your information secure. I do not disclose information about email subscribers, clients or customers to any third parties, other companies or individuals. This website uses cookies. A cookie is a small file which asks permission to be placed on your computer’s hard drive. This website uses traffic log cookies to identify which pages are being used. Anonymised site stats are generated which show me which pages are visited most frequently, for example. The site stats are numbers only. These site stats help me to tailor my website to customer needs. I only use this anonymised data for statistical analysis purposes.

If you have signed up to my mailing list, I will respect the marketing permissions you agreed to. The sign-up form for the mailing list states that I will use the information you provide to keep in touch with you about my writing, storytelling performances, courses, podcasts, webinars, coaching programmes, and news. You can change your mind about being on my mailing list at any time by clicking the unsubscribe link in the footer of any email you receive from me, or by contacting me at jane@janetalbotwriter.com.

I don’t rent or trade email lists with other organisations and businesses. I do, however, use a third-party provider called Mailchimp . The Mailchimp service allows you to join my mailing list and it allows me to create emails for my mailing list and send them to you.  Mailchimp allows me to gather statistics around email opening and clicks using industry standard technologies; these stats help me to monitor and improve my communication with you. If you haven’t signed up to my mailing list, and you email me, I will not automatically add you to my mailing list! You need to opt in to my mailing list to be included on it. If you ask me to add you to my mailing list, I will ask you to sign up via the online sign-up form.

WHAT HAPPENS WHEN YOU PAY FOR COACHING OR A COURSE
Paying For Courses and/or Coaching through PayPal
If you are interested in 1-1 coaching or a course, the first step is to email me to arrange a ‘chemistry call’. Once we are both confident that coaching/the course is right for you, I’ll send you a PayPal booking link or invoice, as well as relevant documents [coaching contract or course booking form]. PayPal complies with general data protection regulations [GDPR]. I don’t have access to your credit/debit card details.

Other Ways of Paying for Courses and Coaching
You may also pay by direct bank transfer. Once we are both confident that coaching/the course is right for you, I’ll email you a PDF invoice and relevant documents [coaching contract or course booking form]. I will need your name and physical address for the invoice.

Payment Records
I keep a hard copy of invoices and PayPal receipts for my tax records. I need to keep these records for at least 5 years after the 31 January submission deadline of the relevant tax year to comply with HMRC [UK] regulations.

YOUR PERSONAL INFORMATION
Your Telephone Number
If you work with me [ie. you are a coaching client or a course delegate], I will ask for your telephone number as part of the booking process. Having your telephone number means that I can contact you in case of emergencies [eg. I need to reschedule a coaching call at late notice.]

If you are a private client [coaching or course delegate], I will not store your telephone number under ‘Contacts’ on my phone. I will note your number and keep it securely [offline] until our contractual relationship has ended [including any agreed period of aftercare]. The paper record of your number will then be destroyed.

If you are a business-business contact [eg. I am a registered supplier for your organisation, I have a work contract for your organisation, or I have a long-standing supplier relationship with your organisation], I may store the details of my main contact for your organisation under ‘Contacts’ on my phone. When the business-business relationship is deemed ended, the contact details will be removed from my phone.

Skype
If you are a private client and we do coaching work via Skype, as soon as the coaching contract is concluded [the contract duration may include a mutually agreed period of aftercare], I will remove your Skype contact details from my Skype account.

Your Email Address
If you work with me [ie. you are a coaching client or a course delegate], your email address will be used as the main method of contact. When our contractual relationship is deemed ended [including any agreed period of aftercare], I will delete your email address from my email ‘address book’.

Your Emails
If you work with me, email trails will be deleted once our contractual relationship is deemed ended [including any agreed period of aftercare]. However, if the emails contain information relevant to our work together [eg. relevant to session notes and/or information for the coaching contract/course booking form], those emails will be printed off and stored securely for a period of 5 years. Keeping records for a period of 5 years is a requirement of my insurance provider.

Coaching Contracts and Course Booking Forms
When you book a coaching session with me, or when you book on a course, you’ll be asked to sign a coaching contract or complete a course booking form. For both coaching contracts and course booking forms, I ask for your name, email address and telephone number. This information helps me to keep in contact with you before a course starts [eg. I will email you joining instructions and manuals, where relevant] and during our working relationship.

The forms also ask for other information relevant to the work we will be doing together. This information helps me to plan my work with you and get a clearer understanding of your outcomes and expectations – and some of the challenges you hope to work through.

Coaching contracts and course booking forms will not be stored digitally, but they will be stored securely offline for a period of 5 years. This ensures I meet the terms and conditions of my professional insurance. After 5 years, the forms will be destroyed.

Both the coaching contract and booking form contain more information about data protection and confidentiality.

Coaching Session Notes
If we enter a 1-1 coaching relationship, I will need to keep secure paper [offline] records relating to our sessions. Keeping records for a period of 5 years is a requirement of my insurance provider. These records also help me to prepare for sessions with you: I review the notes from previous sessions before each new session [this is particularly helpful if there are long gaps between sessions]. The records kept are brief notes. Your name is included in the notes, the date of the session, a short description of the work carried out during the session and any ‘homework’. You may ask for a copy of these records at any time [and many clients like to take their own notes during the session too]. After a period of 5 years, these records will be destroyed.

Other Sensitive Information
If you are a coaching client, and you share sensitive personal data [e.g. details of your emotional health, physical health etc.] that relates to the work we are doing together with me by email, the email trail will be printed off and stored with your coaching session notes [see ‘Coaching Session Notes’ and ‘Your Emails’].
